My role and responsibilities included:
- Support the Senior Manager in developing systems for project implementation within designated areas, including assistance with workshop organization and drafting related materials.
- Organize and plan work to achieve objectives with minimal supervision. Make decisions and take actions to move issues forward, following up as needed.
- Coordinate with internal teams to ensure timely delivery of products and services for events.
- Strive to enhance the effectiveness of routine tasks, implementing solutions to challenges as they arise and maintaining high standards of work.
- Foster cooperation and build rapport with others. Seek and apply constructive feedback, handling difficult working relationships as needed.
- Compose and address emails to high-ranking dignitaries for various purposes, ensuring adherence to email etiquette and professional communication standards.
- Collaborate with clients to identify their goals and expectations from the event.
- Create detailed reports outlining event planning progress, timelines, budgets, and other relevant information.
- Ensure effective communication between vendors and organizers before, during, and after the event.
- Provide informative material using Pow town and Canva to participants in English (pdfs and how-to video content if possible).
- Creatively solve and meet the growing needs of the conferences and events.
- Follow up and resolve all tickets received through the dedicated channels for UN bodies' events, providing support to high-ranking dignitaries. Take necessary actions such as resending invitations, updating information, granting access, and addressing any issues to ensure smooth coordination between organizers and invited individuals.
- Track due dates for contracts and services offers delivered by the team to ensure timely and accurate payments.
- Maintain strict confidentiality of financial information and ensure the secure handling and storage of cash and financial documents.
- Analyze customer feedback surveys filled out after each program in order to improve future programs and events.
